How Store & Inventory Management looks

Web cockpit for the store-in-charge. Mobile for the gate and warehouse floor.

Store-in-charges see indent status, PO ageing, GRN reconciliation, batch ageing and pending approvals. Gate operators capture MRGP / NRGP, pickers scan batches and warehouse staff log stock counts on mobile — every movement audit-trailed.

What Store & Inventory Management replaces

Paper indents, Excel stock, separate inventory tools — consolidated.

Most plant stores, FMCG warehouses and institutional stores still run on paper indent books, manual gate registers, Excel stock sheets, phone-call POs and a separate horizontal inventory tool that doesn't know about your indent workflow. SortString consolidates store-side material flow and warehouse-side inventory control into one structured workflow with audit trail end to end.

  • One vendor + item master — shared across indent, PO, GRN, stock
  • One material flow — indent → PO → GRN → stock → issue → consumption
  • Audit-ready gate passes for every entry and exit

What is inside Store & Inventory Management

Sixteen modules. One material + stock spine.

From the first indent raised by an engineer to the last batch consumed at the production line — every step captured, approved, stock-impacted and audit-ready. Adopt the store-side modules, the inventory-side modules, or both.

  • Vendor Onboarding

Vendor master with KYC, compliance docs, bank details and approval workflow. Approved vendors flow into indent and PO.

  • Item Master Setup

SKUs grouped by store category (Packing, Engineering, MPD, Market) with unit of measure, conversion factors, reorder levels, batch and expiry rules.

  • Indenting

Department-raised indents with category-aware approval workflows. Engineers, plant managers and store-in-charges work from one screen.

  • Purchase Orders

PO generation against approved indents, with multi-vendor RFQ comparison, terms and conditions and digital sign-off.

  • GRN — Goods Receipt

Receipt against PO with quantity, quality, batch, expiry and reason-coded exception flagging. Three-way match between PO, GRN and invoice.

  • Direct MRN

Material Receipt without a PO — for inter-plant transfers, returns from vendors or emergency procurement — captured cleanly with audit trail.

  • MRGP / NRGP Gate Passes

Returnable and non-returnable gate passes for tools, equipment, scrap, sales dispatch and inter-plant movement — captured at the gate, approved at HQ.

  • Category Validation

Store category rules (Packing, Engineering, MPD, Market) enforce who can indent, who approves and which vendors can supply — no exceptions without override.

  • Batch + Expiry Tracking

Every batch tagged with manufacture date, expiry date and supplier lot. Auto-alerts when batches approach shelf-life threshold.

  • Area + Place Allocation

Each warehouse split into zones, racks, bins — system tells the picker exactly where to find each batch and where to put new arrivals.

  • Perishable Care Planning

Shelf-life dashboards, FIFO / FEFO picking rules, write-off workflows and supplier reverse-logistics — built for dairy, packaged food and pharma.

  • Multi-Warehouse Stock

Stock across all your depots, warehouses and plant stores on one screen. Inter-warehouse transfers with approval workflow.

  • Intelligent Reorder

Configurable reorder thresholds per SKU, per location — with lead-time-aware reorder suggestions and approval workflow.

  • Issue & Consumption

Department-wise issue slips against approved requisitions. Consumption posting against work orders, cost centres or projects.

  • Inter-Store Transfer

Movement between plants, depots and institutional stores — initiated by source, accepted by destination, reconciled by HQ.

  • MIS & Audit Reports

Indent ageing, PO conversion, GRN exceptions, batch ageing, stock health, gate pass register, vendor performance — every report a stores or inventory auditor asks for.

Why teams pick Store & Inventory Management

Why teams pick one merged solution over two separate tools.

Three patterns repeat across every customer that consolidates store + inventory into a single SortString deployment.

  • 01

vs Paper indent + separate inventory tool

Two sources of truth, daily reconciliation, missed receipts. One spine fixes it — every GRN updates stock in real time, batch and expiry follow the material from gate to bin.

  • 02

    vs ERP store module only

Built for back-office approvals, weak on the gate, weak on perishable care. SortString is mobile-first at the gate, warehouse-grade at the bin, ERP-grade at the office — all in one.

  • 03

vs Zoho Inventory / horizontal SaaS

Built for e-commerce SMBs with dry goods. Cracks at 5,000 SKUs, multiple warehouses, batch and expiry constraints. SortString is built for that exact reality.

Integrations

Works inside SalesPort, IMROS or as a stand-alone.

Bundled with SalesPort or IMROS at the plant/institute level, or deployed stand-alone for manufacturing plants, FMCG warehouses and depots. Integrates with Tally for vendor payments, AccountBook for stock-value posting, and barcode hardware at the dock.

  • SalesPort (plant + depot bundle)
  • IMROS (institutional bundle)
  • AccountBook (stock + cost posting)
  • Tally Prime (XML)
  • Vendor payment files (NEFT / RTGS)
  • WhatsApp Business API
  • Barcode scanners + weighing scales
  • Sunmi handheld terminals

How Store & Inventory Management is priced

Per-store AMC, not per-user or per-SKU.

A one-time deployment fee. A fixed monthly AMC per store / warehouse. Hiring 50 more store staff or adding 5,000 SKUs next quarter does not change your bill.

  • A one-time deployment fee — declared up front, in writing.
  • A fixed monthly AMC per store / warehouse. Per-user and per-SKU charges do not exist.
  • Live in 6 to 12 weeks for a single-plant store + inventory rollout.
  • Bundle pricing when deployed inside SalesPort or IMROS at the plant / institute level.

Common questions

Questions buyers actually ask.

The answers below are the same ones we give on the call.

Is this a single solution or two products bundled?

It is one solution. SortString Store & Inventory Management runs both sides of the material spine — store-side (vendor, indent, PO, GRN, MRN, gate passes) and warehouse-side (batch, expiry, perishable care, multi-location stock, reorder). One database, one approval engine, one MIS. Inventory is not licensed separately.

Who is this built for?

Manufacturing plants, dairies, FMCG warehouses, distribution centres and institutional stores with significant material and stock complexity. Typical sweet spot: 5,000+ SKUs across multiple warehouses, with batch and expiry constraints, served by an internal store function that manages indents, POs and gate operations.

How is it different from Zoho Inventory or Tally stock?

Zoho is built for e-commerce SMBs with dry goods — no batch / expiry / perishable care, no plant store function. Tally tracks stock at item level but lacks area-place allocation, indent workflow and gate passes. SortString ships all of that out of the box and integrates with both where you want them.

What are MRGP and NRGP gate passes?

MRGP is a Materials Returnable Gate Pass — for tools, equipment and consignment material that goes out and must come back. NRGP is a Non-Returnable Gate Pass — for sales dispatch, scrap removal, write-offs and inter-plant transfers. Both are captured at the gate cabin and reconciled at HQ.

Does it handle FIFO and FEFO automatically?

Yes. First-in-first-out (FIFO) and first-expiry-first-out (FEFO) picking rules are configurable per SKU and per warehouse. The picker app tells the operator exactly which batch to pick — no guessing, no ageing stock stuck at the back of the warehouse.

Does it integrate with barcode scanners and weighing scales?

Yes. Handheld barcode scanners and weighing scales are first-class — GRN capture, dispatch validation and stock counts can all be driven by hardware. Sunmi handheld terminals are commonly used for end-to-end workflows.

How long does it take to go live?

A single store + warehouse rollout goes live in 6 to 12 weeks. Multi-plant rollouts run 12 to 20 weeks total, with phased onboarding from biggest to smallest store. Every project ships with a named delivery owner, a published timeline, a UAT environment and weekly status reviews.
