How ProcuPort looks

A web cockpit for HQ. An offline app for every VLC.

Head-office watches procurement, rejection rates and payout cycles live. Supervisors run morning and evening collection on an offline-first Android app — even when the mobile network drops.

What ProcuPort replaces

Paper, spreadsheets and FTP files — replaced.

Most dairies still run procurement on a stack of paper ledgers, fat–SNF notebooks, FTP dumps from the BMC, Excel rate-card books and cash-in-hand farmer payouts. ProcuPort replaces all of that with one verified, time-stamped digital record.

  • One database — every collection, every reading, every payout
  • Audit trail at every level — village, MCC, plant, federation
  • Farmer ledger on the same app, in the farmer's language

Member registration with KYC, bank details, share-capital and family ledgers. Multi-village hierarchies for cooperatives, federations and private dairies.

Multi-slab rate cards by fat, SNF, season, region and cooperative tier. Bonuses, advances, feed-cost deductions and incentives applied automatically.

  • Milk Collection — Shift-wise

Morning and evening collection capture across multi-MCC networks. Thousands of daily shift-wise transactions, verified and time-stamped.

  • Farmer Payouts & Accounts

Quantity × Quality pricing flows directly into farmer ledgers, advances and weekly or fortnightly payment cycles via Tally / SAP integration.

  • Products, Incentives & Demand

Cattle feed and dairy products distributed back to farmers and members, with incentives, demand forecasting and reverse-logistics built in.

  • Inventory & Plant Stores

Live inventory at each collection centre and plant, with goods-handling, perishable care planning and end-to-end stock visibility.

  • Dashboards & Analytics

Real-time MIS from village to plant — collection efficiency, rejection rates, route-level cost, farmer participation and payout cycles.

  • Role-Based Access & Audit Trails

Primary society → district union → state federation hierarchy with strict role-based access and complete audit trail at every level.

  • Reports & Compliance

Audit-ready reports for cooperative board reviews, state-federation filings and dairy plant compliance — generated on demand.

How a morning shift actually runs

5:30 AM at a village collection centre.

From the first farmer to the plant intake — what ProcuPort does behind the scenes during a single morning shift.

  1. Step 1

    05:30

Supervisor opens ProcuPort at the VLC

Tablet or phone, offline-first. The supervisor logs in. The previous shift is already reconciled.

  2. Step 2

    05:35

    Farmer brings the morning milk

Quantity is measured. The lactometer or analyser is connected. Fat and SNF are captured automatically.

  3. Step 3

    05:36

    Rate computed and receipt printed

Rate × quantity × quality factors, with any advance recoveries or feed-cost deductions. Digital receipt printed in under 30 seconds.

  4. Step 4

    08:00

Shift rolls up to the MCC

All VLC entries consolidate at the Milk Chilling Centre. Plant intake reconciles against route-wise dispatch in real time.

  5. Step 5

    Day-end

Plant intake closes, MIS goes live to HQ

Procurement, rejection rates and collection efficiency stream into HQ dashboards. Farmer payment cycles flow through Tally / SAP.

Why dairies pick ProcuPort

The category options are these three. ProcuPort beats them all.

Three patterns repeat across every dairy that switched to ProcuPort — including state-cooperative federations and private dairies up to ₹600 Crore in procurement.

  • 01

    vs Generic FMCG DMS

Generic distribution software has no procurement side at all. ProcuPort is the buying engine for dairies, not the selling engine.

  • 02

    vs Excel + Paper Registers

Fat–SNF disputes, rate-card errors and end-of-shift reconciliation evaporate when the analyser writes directly into the ledger.

  • 03

    vs In-House Custom Builds

12 integrated modules, cooperative-grade hierarchies and BMC integrations — already in production at 25 dairies. You don't need to build it again.

Integrations

Works with the machines and systems you already run.

Bulk Milk Coolers in the village. Lactometers and analysers in the lab. Tally in the office. SAP at the federation. NPR pricing in Nepal. ProcuPort fits in without rewriting any of that.

  • BMC milk coolers
  • Lactoscan, EkomilkScan, Bulgarian DSC
  • Lactometers (FTP)
  • Tally Prime (XML)
  • SAP Business One / HANA
  • Bank payout files (NEFT / RTGS)
  • WhatsApp Business API
  • NPR — Nepal cross-border

How ProcuPort is priced

No per-farmer or per-VLC fees.

A one-time deployment fee. A fixed monthly AMC. That is the whole price list. Adding 10,000 more farmer accounts does not change your bill. We share the real number in a 30-minute call.

  • A one-time deployment fee — declared up front, in writing, with no surprises.
  • A fixed monthly AMC. Per-farmer and per-VLC fees do not exist in our model.
  • Live in 8 to 12 weeks for a multi-VLC, multi-MCC network — with a named delivery owner.
  • Source-code ownership available for cooperatives and federations that require it.

Common questions

Questions dairy operators actually ask.

The answers below are the same ones we give on the call.

What is ProcuPort and who is it for?

ProcuPort is Sort String Solutions' smart milk procurement system, built for cooperative dairies, state federations, and private dairies. It unifies farmers, Village-Level Collection centres (VLCs), Milk Chilling Centres (MCCs) and head-office operations into a single connected platform. As of today, ProcuPort runs at 25 dairies across India and Nepal, with 83,785 active farmer accounts, 1,797 VLCs and ₹803 Crore of annual milk procurement processed.

How is ProcuPort different from a generic dairy or FMCG software?

Generic FMCG software is built to sell — orders, invoices, schemes, beats. Dairies don't only sell; they also buy from thousands of farmers, twice a day. ProcuPort is purpose-built for that second side: fat–SNF capture from the analyser, dynamic rate cards, advance recoveries, feed-cost deductions, cooperative hierarchies (primary society → district union → state federation) and audit-ready farmer ledgers. None of that is native in generic distribution software.

Does ProcuPort integrate with BMC machines and milk analysers?

Yes. ProcuPort connects to Bulk Milk Coolers, lactometers and milk analysers including Lactoscan, EkomilkScan and Bulgarian DSC, primarily over FTP. Quantity, fat and SNF readings flow directly into the collection ledger, the rate-computation engine and the farmer's payment cycle — without manual entry.

Is ProcuPort cooperative-grade and audit-ready?

Yes. ProcuPort is built for the cooperative dairy operating model — multi-tier hierarchies (primary society → district union → state federation), strict role-based access, complete audit trails on every collection and payout, fair quality-based farmer payouts, and reports designed for cooperative board reviews and state-federation filings.

Does ProcuPort work offline at village collection centres?

Yes — and this is one of the defining design choices. Most VLCs are in rural areas where the mobile network drops or vanishes entirely. ProcuPort's collection app is offline-first: every reading, every receipt, every farmer payout calculation is captured locally and syncs to the server when connectivity returns. The longest offline window across our deployments has run 11 days, with zero data loss.

Does ProcuPort work in Nepal for cross-border dairy operations?

Yes. ProcuPort runs in production at dairies in Nepal — including SAP B1 / HANA integration. Cross-border operations use the same platform with NPR pricing. We are the only Indian milk-procurement software with verified Nepal production deployments.

How long does ProcuPort take to go live?

A typical multi-VLC, multi-MCC ProcuPort deployment is live in 8 to 12 weeks. Every project ships with a named delivery owner, a published timeline, a UAT environment and weekly status reviews. State-federation-scale rollouts can take longer — we share the realistic timeline before signing.
