Quick answer: Field sales location tracking records where a salesperson is between punch-in and punch-out. The system turns GPS readings into a live team map, a day timeline of visits and halts, one daily kilometre figure, and a travel allowance based on GPS or odometer distance. It ignores inaccurate readings and works offline.
Key takeaways
Track only between punch-in and punch-out. It's fairer to employees and easier to defend.
A day timeline (visits, halts, route) tells a manager more than a dot on a map.
One distance figure should feed the timeline, the activity report and the travel allowance, so they always agree.
Compliance checks catch the real problem: phones with location turned off or the app closed.
Why does location tracking matter in field sales?
A field team's day is invisible to its manager. Without tracking, the only evidence of work is the orders that come in, and a slow day looks the same whether the rep was stuck in traffic, waiting at a distributor or not working. Travel allowance is claimed by hand and checked by guesswork. Location tracking, often bought in India as a salesman tracking app, replaces that with facts both sides can see.
If your concern is reps faking visits, start with seven tactics to catch ghost visits. This guide focuses on what managers and finance need every day: where the team is, what they did, and how much travel to pay.
Track only while on duty
In SalesPort's Sales Track, tracking starts when the employee punches in and stops when they punch out. Weekly offs, public holidays and approved leave are shown as off duty. Each reading carries battery level, speed and GPS accuracy. India's Digital Personal Data Protection Act, 2023 treats location as personal data, so tell employees what is collected and why, limit it to working hours, and set a retention period. All of these are settings in the system.
Live location: the team at a glance
Overview: counts of staff punched in, punched out and inactive, split by team, with last location and last seen. It also compares today with yesterday on new distributors, new outlets, orders and order value. It refreshes every 30 seconds.
Live map: every employee by punch state, with an optional outlet layer, battery, GPS status, kilometres so far and the day's orders. It refreshes every 60 seconds, and any past date can be selected.
Card view: the same information as cards, filterable by status, battery and GPS.
The day timeline: what actually happened
Pick one employee and one day to see:
punch-in, every outlet visit and every halt, in order, then punch-out;
a map in GPS or road view, outlet markers coloured by visit state, halt pins and a route replay;
total distance, total halt time, GPS coverage, and phone and app details.
A halt is any stay of 10 minutes or more at one place. Halts that aren't at an outlet or the distributor are worth a conversation. A day with at least 70% GPS coverage is treated as reliable; below that, the manager knows the picture is incomplete.
Compliance: catch phones that go silent
The most common tracking problem isn't fake GPS. It's a phone with location switched off, battery saver killing the app, or permissions revoked. The compliance view shows an employee × day grid of app and location settings over a range of up to 92 days, lists yesterday's exceptions and phones that went silent, shows proof screenshots for each day and lets the manager send a reminder in one click.

How is travel allowance calculated from GPS?
Travel allowance disputes come from two numbers that don't match: what the rep claims and what the manager believes. Sales Track calculates one distance per day and uses it everywhere:
Only accurate readings count. Readings outside the set GPS accuracy limit are dropped, so a jumpy signal doesn't add phantom kilometres.
One calculated line per day feeds the timeline, the activity report and attendance kilometres, so all three agree.
Allowance basis: GPS kilometres or odometer kilometres, at a global rate or an individual rate per employee.
Odometer capture: where required, the rep photographs the odometer at day start and day end.
Road distance can be used for selected employees where straight-line GPS distance understates travel.
Example
A sales officer is paid ₹3 per kilometre on a GPS basis. On Tuesday their timeline shows 86.4 km of accurate readings across 14 outlet visits. The activity report shows 86.4 km and a travel allowance of ₹259.20, the same figure finance sees at month-end. If the employee worked in a low-signal area and readings uploaded late, the day's kilometres and allowance are recalculated automatically when the readings arrive.
Does location tracking work offline?
Rural beats lose signal for hours. Readings captured without connectivity are stored on the phone and uploaded later, and a past day's distance and allowance are recalculated when they arrive. Day start and day end are also queued offline, so attendance isn't lost. More on this in offline-first apps for rural India.
Reports
Activity report (daily or monthly, per employee): outlets created and visited, orders, order value, GPS km, odometer km and travel allowance, with odometer photos. Exports to Excel.
Shop visit report (PDF and Excel).
Employee tracking details (PDF).
Attendance status (Excel, six sheets).
Each tab has its own permission, and managers see only their own reporting line.
Outlet GPS tagging from the field
Tracking is only as good as the outlet locations it's compared against. When an outlet has no GPS location, the rep can tag it from the app during a visit. Tagging is allowed only where no location exists, so it can't be used to move an outlet. Pair this with an outlet master clean-up.
Rollout checklist
Write a one-page tracking policy: what is tracked, when, and why. Share it before go-live.
Set the reading interval, GPS accuracy limit and data retention period.
Decide the allowance basis (GPS or odometer) and rates, including any individual rates.
Check phone battery-saver settings for your most common handset models.
For the first month, review the compliance grid weekly and fix silent phones before reviewing performance.
